Dashboards & CRM

Custom dashboards and CRM, built on your own numbers

We build the screens a small business runs on: a pipeline that shows every lead and where it stands, a job board for the crew, a money-owed view for the office, and client portals that show customers their project without a phone call.

A custom CRM makes sense when your pipeline doesn't look like the software's. Snow clients sorted by road, rental bookings by event date, crews by job site, land by county and acreage: when the off-the-shelf tool can't show work the way you think about it, people stop updating it and it quietly dies.

If a mainstream CRM or field-service app already fits how you sell and schedule, keep it. We'll say so in the quote call. Where it doesn't fit, a small custom system with three or four screens usually gets used every day, because it shows exactly what your team needs and nothing else.

Every dashboard we build sits on a standard database with exports, so the numbers on the screen, the reports your accountant gets and any future system all read from the same place.

Boards and portals we run today

Built first for businesses our founder owns. The private tools aren't linked here, but every description is exact.

Snow client board

Inside the storm-day route app
In use

Clients grouped by road with a status (prospect, call back, on route, not interested), seasonal or per-trip pricing, paid and owed, and visits used against the season cap. Signed contracts and per-storm money sit on separate tiles so weather money never looks like booked money.

Rental booking book

Behind Hitch & Host
In use

The private quote and booking tool behind a family party-rental business: quote, calendar and people tabs, with every quote saved as quoted, possible, booked or lost, and the full quote inputs kept with it.

In use

Severity-ranked alerts pushed to a phone, a winter-fund target worked out from the slow months' spending, open questions for the accountant, and a CPA package generated as a PDF.

Each client gets a private, unlisted gallery with full-resolution photos, video and a download bundle, and the payment link sends them straight to it once they've paid.

Parcel maps and owner lists for land buyers, filtered by county, acreage, value and owner type, then worked through as an outreach campaign. Offered as a done-for-you service.

BizLifeOS

Business life OS
Early access

Calendar, tasks, contacts, invoices and books on one dashboard, with real-time sync, an audit log and row-level security on every table. The web app is in early access.

What we put on a small-business dashboard

Pipeline

Every lead from first contact to signed, with the next step and who owns it. Stale leads surface on their own.

Jobs & schedule

What's on today, who's on it and where, on a phone screen the crew can actually read on site.

Money owed

Invoices out, payments in, and the short list of who to call this week, so nothing ages past 30 days unnoticed.

The morning numbers

The four or five KPIs you'd otherwise rebuild in a spreadsheet every Monday, updated on their own.

Client portal

Customers sign in to see status, files, invoices and messages, so fewer calls start with 'just checking in'.

Alerts

A push or text when something needs a person: a new lead, an overdue invoice, a job running long.

Access, security and your data

  • Accounts by invite. Staff and clients get their own sign-in; nobody shares a login.
  • Rules in the database. On Supabase we use row-level security, so even a buggy screen can't show one client another client's records.
  • An audit trail where it matters. Changes to money and status can be logged with who made them and when.
  • Exports any time. Your records come out as CSV for your accountant, a report, or the next system you use.
  • Backups. Scheduled backups, and for desktop tools, encrypted copies kept off the machine.

How a dashboard or CRM project runs

  • Collect the real questions. We write down what you ask about the business each week and where the answers live today.
  • Model the data. One clean record for each customer, job and invoice, with every source mapped in.
  • Build the few screens that matter. You use them on real data early, and we cut or change what nobody touches.
  • The monthly plan. Hosting, backups, new reports and adjustments as the business changes.

A set build price, then a monthly plan

Every project gets a set price for the initial build, then a monthly plan for only the services you need, priced to compete with the big names. Request a free quote and you'll know the full scope and price before work starts.

The buildQuoted up front from a written scope: the screens, automations, integrations and data moves we agreed on, and what is out of scope.
The monthly planOnly the services you use, such as hosting, monitoring, backups, updates and the changes you ask for. Add or drop services as the business changes.

Straight answers

What's the difference between a dashboard and a CRM?

A CRM is where the work happens: every lead, customer and job, with its status, notes and next step. A dashboard is the view on top: the handful of numbers and lists you check every morning. Most small businesses need a little of both, built on the same data so they never disagree.

Can it pull data from the tools we already use?

Usually. Website forms, Stripe, Google Sheets, bank and accounting exports, and most tools with an API can feed the same database. Where a tool has no way in, a scheduled CSV import often does the job.

Will my team actually use it?

They will if it's built around the three or four screens they need instead of forty they don't. We start from how your people work today, build for the phone first when they're in the field, and change it once they've used it for a week.

Can customers log in to see their own project?

Yes. A client portal gives each customer their own sign-in and shows only their records: project status, files, invoices and messages. Access rules are enforced in the database, not just hidden in the screen.

How much does a custom CRM or dashboard cost?

Every project gets a set price for the initial build, then a monthly plan for only the services you need, priced to compete with the big names. Request a free quote and you'll know the full scope and price before work starts.

The build price depends mostly on how many screens and data sources it has. The monthly plan covers hosting, backups and the changes you ask for.

Can you move us off the CRM we use now?

Usually. We export your records, map them into the new system and run both side by side until you trust it. If your current CRM fits better than anything we'd build, we'll tell you that instead.

What do you wish you could see in one screen?

Send the spreadsheet you rebuild every Monday or the question you can never answer quickly. We'll come back with a written scope, a set build price and the monthly plan.
